Information may be collected through enquiry forms, direct communication, therapy sessions, and shared reports from other professionals with your consent.

Why We Collect Personal Information
Personal information is collected to provide occupational therapy services, communicate with families and referrers, complete assessments and reports, coordinate care with relevant professionals, manage bookings and billing, fulfil administrative and legal requirements, and comply with obligations under the NDIS Code of Conduct where applicable. We do not use personal information for marketing without your explicit consent.

How We Store and Protect Information
We take privacy and security seriously. All information is stored using secure systems, password-protected devices, encrypted platforms, and limited-access storage. Only authorised personnel can access personal information. Records are kept for the minimum period required under legislation—typically seven years after the last contact, or until a child turns 25, whichever is longer—and are securely destroyed when no longer required.

Sharing and Disclosure of Information
Personal information is never sold, traded, or shared for marketing. Information may be disclosed with your explicit consent to teachers, schools, paediatricians, psychologists, medical specialists, support coordinators, or other allied-health providers involved in care. Administrative disclosures may occur for invoicing, Medicare or NDIS billing, or accounting purposes, and only the minimum necessary information is shared.

Telehealth appointments are conducted through secure, encrypted platforms wherever possible. Documentation is completed confidentially and stored with the same protection as in-person sessions. Clients are encouraged to choose a private location and ensure device security during telehealth.

Third-Party Services
Some personal information may be handled by trusted third-party providers solely for the purpose of operating the practice. These may include website hosting services such as Squarespace, email hosting such as Google Workspace, clinical documentation and practice-management systems, and secure cloud-storage services. These providers maintain their own privacy and security standards.

Children’s Information
As a paediatric-focused practice, additional care is taken when collecting and storing information about children. Information is collected with the consent of parents or legal guardians, stored securely, and shared only with explicit permission unless legally required.

Your Rights
Clients and families have the right to request access to personal information, update details, request corrections, withdraw consent for information sharing, and request copies of reports or documentation (fees may apply). Requests may be declined in situations where disclosure would breach legal obligations, but reasons will always be explained.
